Message from the Deanship of Postgraduate Studies

The Deanship of Postgraduate Studies (DPS) has overall responsibility for the administration of postgraduate doctoral, master's and diploma programs at Sultan Qaboos University (SQU). The DPS constantly strives to ensure that all postgraduate students receive a high quality experience and world class education during their time at SQU.

In recent years, the number of postgraduate programs available at SQU has expanded significantly.

Currently, the University offers a range of doctoral programs covering 35 specializations from six colleges: Science, Engineering, Agricultural & Marine Sciences, Medicine & Health Sciences, Education and Arts and Social Studies. These programs are research-based with a limited coursework option available in some colleges. In 2018, a total of 237 students were pursuing doctoral degrees at SQU.

Masters programs have been running at SQU since the early 1990s, and the University currently offers a total of 66 different Masters programs across nine colleges. These programs are available in four formats: thesis only; coursework/thesis, coursework only, and coursework/examination. Currently, more than 1458 Master students are enrolled at SQU.

Our postgraduate programs are designed to build the national capacity of Oman and help drive growth in all sectors of the economy. In order to help ensure that this goal can be effectively achieved, SQU has clearly defined generic graduate attributes and program outcomes, which are aligned with the Oman Qualifications Framework, the needs of stakeholders in Oman, and international best practice in the relevant field of study.

All new or restructured postgraduate programs are endorsed by prospective employers as well as subject area specialists, and rigorous policies and practices are in place to ensure continued high standards are met in all these programs.

The University has clearly defined the student attributes and learning outcomes required from its postgraduates, which have been formalized in a Postgraduate Student Attributes document implemented in 2016. All colleges are required to incorporate these attributes in postgraduate teaching and research. We have stringent regulations, policies and procedures in place to ensure that high standards of postgraduate student supervision and teaching are in place across all our colleges and programs.

In order to maintain high standards of postgraduate study at SQU, our postgraduate programs are open only to applicants who have a strong academic record, proficiency in the language of instruction, and clear potential for advanced study.

SQU welcomes qualified students from around the world to its postgraduate programs, and we have a large and diverse body of international students. All postgraduate students from outside Oman are encouraged to take full advantage not only of the excellent facilities and education offered by the University, but also to explore the beautiful country of Oman, learn about our fascinating culture and rich heritage and mix with our Omani students. Arriving in a new country for the first time can be a daunting experience, however, and SQU provides a great deal of support to help you settle in, including assistance with accommodation and transportation, induction tours and social events and activities.

The Deanship of Postgraduate Studies has three main roles:

  • To ensure that postgraduate academic regulations are fully met
  • To ensure that SQU graduates high quality, well qualified students
  • To meet the needs of Omani and international students for high quality learning

In order to help the DPS implement its roles, each college has its own Postgraduate Studies Committee (PSC).

A wide range of responsibilities are involved in fulfilling the roles of the DPS. These include making a range of scholarships available for postgraduate study; marketing SQU’s postgraduate programs in a diverse range of formats; developing and implementing research skills workshops for students and academic faculty, and overseeing the defense\examination of theses.

In particular, the DPS helps ensure that the University provides postgraduate students with appropriate facilities, resources and support to enable them to achieve their academic goals. These include excellent library and study spaces, world-class information technology resources, and a variety of workshops and seminars to assist in the development of the university’s defined postgraduate attributes.

The overall purpose of the Dean of Postgraduate Studies is to serve each of our Colleges and their postgraduate students to the best of our ability, and we trust that you will find the content of our website useful.

Postgraduate Board

The Postgraduate Studies Board is chaired by the Deputy Vice-Chancellor for Postgraduate Studies & Research and its members include the Dean of Postgraduate Studies (Board's Deputy Chair), the Dean of Admissions & Registration, and the colleges' Assistant Deans for Postgraduate Studies & Research. Two members of the faculty (Associate Professor or Professor) are appointed by the Deputy Vice-Chancellor for Postgraduate Studies & Research for a period of two years.

The general functions of the Board are:

  • To study and conduct periodic reviews of academic regulations.
  • To evaluate and recommend postgraduates programs proposed by various colleges.
  • To develop the standards necessary to maintain the academic quality of postgraduate programs.
  • To make future plan for postgraduate studies.
  • To assess the annual report for postgraduate studies before submitting to the Vice-Chancellor.
  • To evaluate the annual budget for postgraduate studies.
  • To study other matters brought to the Board.

 

The Postgraduate Studies Board shall meet at least once per semester at the request of the Chair. The Board can establish subcommittees from its members or others to help in the execution of its duties.

  • Coordinate with colleges and institutes about the mechanisms of admission and follow-up their implementation.

  • Follow up the implementation of the Postgraduate Academic Regulations.

  • Coordinate with the colleges regarding the academic affairs of postgraduate students.
  • Follow up the implementation of issues related to the supervision of postgraduate students.
  • Follow up the implementation of joint postgraduate programs between Sultan University and other higher education institutions.
  • Supervise the preparation of data relating to postgraduate students and forward them to the Dean.
  • Activate bilateral agreements and memoranda of understanding on postgraduate studies.
  • Coordinate with colleges and institutes about the procedures for evaluation of Postgraduate Studies programs.

Coordination and Follow up Department

  • Supervise the coordination and follow-up processes at the Dean's office.
  • Work on drafting, printing and formatting letters following the required format and assisting other departments in this.
  •  Communicate with the of the departments in the deanship about the issues forwarded to them, as indicated by the Dean's directives.
  • Open files to save outgoing and incoming mails.
  • Receive, sort and forward the incoming and outgoing mail to concerned bodies at the Dean's office.
  • Receive guests at the Dean's office and complete their papers and direct them to concerned bodies at the deanship.
  • Prepare the meetings of the Dean and his assistant and provide the necessary requirements for those meetings.

The Unit of Review and Evaluation of Posgraduate Programs

  • Administers the evaluation of postgraduate programs.

  • Implemental the annual plan for evaluating of postgraduate programs.

  • Follow-up the evaluation of postgraduate programs with colleges.
  • Coordinate with the Office of Quality Assurance and those concerned with the field of internal audit.
  • Meet the requirements of the review panel in coordination with colleges.
  • Communicate with the review panels in coordination with the colleges.
  • Prepare, save the data and reports of the program review.
  • Submit the review reports to the Dean periodically.

Technical Support

  • Provide technical support to computer users in the deanship.

  • Coordinate with the Computer Information Center (CIC) on the management of Student Information System, (SIS).
  • Manage the web page of the deanship.
  • Design and produce the publications of the Deanship of Postgraduate Studies.
  • Issue the postgraduate students’ cards.

Department

  • Notify applicants about acceptance results.
  • Follow up the accepted students’ progress in bridging courses.

Statisctics and Academic Information Section

  • Ensure that new postgraduate programs comply with the Postgraduate Academic Regulation.
  • Enter and update the data of the postgraduate programs and their study plans in the Student Information System (SIS).
  • Prepare and provide statistical reports on Postgraduate Studies at the University.
  • Provide statistics related postgraduate students to the National Center of Statistical and Information program.

Marketing and Postgraduate Programs Section

  • Market postgraduate programs via various means locally and internationally in collaboration with the concerned bodies at the University.
  • Prepare the brochures and leaflets for Postgraduate Studies.           
  • Prepare and distribute the notices concerns advertisements postgraduate studies.

  • Administer and follow up the expenditure of financial support for doctoral students.
  • Receive applications for financial support for Postgraduate students and ensure they meet the scholarships conditions.
  • Administer and follow-up the conference attendance procedures for postgraduate students.
  • Ensure that scholarship students receive their scholarships incentives.
  • Enter and update the information about scholarship students.
  • Prepare and provide information concerning scholarship students.
  • Administer the external funds for Postgraduate students.
  • Prepare the periodic reports on scholarships and financial support.

Tuition Fees Section

  • Compute the tuition fees for Postgraduate students.
  • Follow-up the payment of tuition fees for Postgraduate students.
  • Follow-up with the funding bodies to pay the tuition fees for their scholarship students.
  • Enter and update the data on tuition fees.
  • Collect fees and fines for Postgraduate Studies.
  • Prepare and provide information on tuition fees.

International Students Section

  • Communicate with international student applicants.
  • Provide necessary facilities and services to international students.
  • Follow-up with the concerned bodies at the University about visas, tickets, transportation and housing for international students.
  • Guide the newly admitted students and orient them about the governing laws and regulations at the University.
  • Coordinate between international students and other departments at the university.
  • Administers and organize the activities and health care related to international students.

Department

  • Implement the Postgraduate Academic Regulation regarding the postgraduate academic affairs students (withdrawal, extension, under probation, the requirements for the seminars, thesis defense, and graduation).

  • Activate the Deanship's objectives related to academic affairs.

  • Follow up with the students’ progress based on the postgraduate Academic Regulations.

  • Follow-up the procedures forming thesis examination committees and the comprehensive examination for postgraduate students in coordination with colleges.

  • Prepare and organize skills development programs for postgraduate students at the University.

  • Organize and save the postgraduate students’ documents.

  • Enter and update the academic information in the Postgraduate Academic System (PAS).

  • Issue transcripts and degree completion.

  • Organize the Orientation Day for newly admitted postgraduate student.

  • Prepare periodic reports on withdrawal, postponement, extension, under probation and progress reports.

  • Issue official letters regarding the enrollment students of the University.

  • Any other tasks assigned to the Department by the Dean.

 

Registration Section

  • Prepare the quarterly plan for the registration deadlines and procedures of postgraduate courses.

  • Follow up the electronic registration of postgraduate students in coordination with colleges.

  • Complete the of registration and withdrawal procedures.

  • Follow-up the academic achievement of postgraduate students with colleges

  • Issue official letters relating to the enrollment status of postgraduate students at the University.

  • Prepare periodic reports an extension, under probation and progress reports.

  • Follow up the academic affairs of postgraduate students with their funding bodies.

  • Follow-up the progress of visiting students in coordination with the Office of International Cooperation.

  • Follow up the process of entering the grades and their amend nets them in the Postgraduate Academic System (PAS).

  • Feed the Student Information System (SIS) constraints concerning registration per semester.

  • Prepare a report on registration, postponement and withdrawal rates.

 

Graduation Section

  • Ensure that students meet all graduation requirements.

  • Follow-up the procedures for forming thesis examination of committees and comprehensive examination of postgraduate students in coordination with colleges.

  • Ensure that the master's and doctorate thesis comply with the general format and the specifications of thesis writings.

  • Complete the procedures for graduation for postgraduate students.

  • Issue transcripts, degree completion forms and official graduation certificates.

  • Participate in organizing the graduation ceremony for postgraduate students.

  • Provide the postgraduate language students with documents related to their study at University in both Arabic and English.

  • Certify degrees, and masters and doctoral theses.

  • Provide the local and international educational institutions with the required documents if the postgraduate student wishes to further education there.

  • Cover the research projects of postgraduate students in their ration fields in the disciplines in the University publications and local and foreign newspapers.

  • Organize meetings and events in areas of interest and send invitations for graduating students to attend.

 

Students' Records Section

  • Organize and save the folders of postgraduate students.

  • Receive and store the students' documents in their respective folder.

  • Keep students' documents in the electronic archiving system.

  • Provide the authorized individuals with the documents related to students

 

Skills Development Section

  • Coordinate with concerned parties inside and outside the University to prepare programs to enhance the skills of postgraduate students.

  • Administer of programs to develop the skills of postgraduate students.

  • Develop skills development programs by incorporating comments made by the lecturers and participants in these programs.

  • Provide support tools for skills development programs.

  • Enter and update information of the skills programs and lecturers in the electronic system.

  • Coordinate with the relevant bodies about introducing the skills programs for Postgraduate students from outside the University.
