Guidance on Attendance During Phase III Clinical Rotations

Purpose

This attendance policy is derived from the university academic policies and applies specifically to Phase III clinical rotations.

 

Mandatory Attendance

Attendance for all clinical activities is compulsory for Phase III students.

 

1.Attendance Tracking

Each department is responsible for maintaining attendance records through the designated rotation coordinator, supported by the departmental coordinator. The specific processes for tracking attendance may be tailored to each Departments preference.

 

2. Absence Threshold and Warning Notice

2.1 If a student is absent for 10% of the rotation duration, the Assistant

Dean for Clinical Affairs (ADCA) will issue a warning notice.

2.2 The permissible absence threshold for each rotation duration is

outlined below:

8 weeks: 4 days

7 weeks: 4 days

6 weeks: 3 days

5 weeks: 3 days

4 weeks: 2 days

3 weeks: 2 days

2 weeks: 1 days

1 week: 1 day

 

3. Notification Process

The rotation coordinator is responsible for monitoring student attendance. If a student exceeds the 10% absence limit, the coordinator must notify the ADCA’s office for further action.

 

4.Warning Issuance and Record Maintenance

The ADCA’s office will issue a formal warning notice to the student upon reaching the 10% absence threshold and will maintain a record of the warning for future reference.

 

5. Consequences of Exceeding the Absence Limit

If a student exceeds the 20% absence limit for a clinical block, the ADCA will issue an absentee failure notice. The student will not be permitted to sit for the end-of-block examination.
