Guidance on Attending Conferences or Symposiums During Phase III Clinical Rotations

 

Purpose

Following is a guide for students in Phase III regarding attendance at academic gatherings activities (e.g., conferences, symposiums, or meetings) during clinical rotations. The following regulations apply if a student attends a conference during working days of clinical rotation. . (Not a weekend or during time off)

 

1.Eligibility Criteria

Students must be actively presenting research work, either through an oral presentation or a poster presentation.

 

2. Frequency of Attendance

Each student is permitted to attend such activities once during the three years of Phase III, whether sponsored by the College of Medicine and Health Sciences or self-sponsored.

 

3. Local Meetings

3.1 Attendance at local meetings is limited to one day only, excluding weekends.

3.2 No compensation for clinical duties is required if only one day is missed.

4. Advance Notification

 

4.1 Students must inform the Office of the Assistant Dean for Clinical Affairs of their intent to attend the meeting at least one month in advance.

4.2 Late notifications may result in the rejection of the request.

 

5.Assessment

Students must liaise with their rotation coordinator to reschedule any Work- Based Assessments (WBAs) that fall on the day of the conference to ensure no assessments are missed.

 

6.Rotation Duration

Attendance at conferences is permitted only during rotations lasting three weeks or longer. Students are not allowed to attend conferences during rotations of shorter durations (1–2 weeks).

 

7. International Conferences

7.1 A maximum of four days allowed, including travel, may be approved for conference participation.

7.2 Compensation for missed clinical duties is required based on the total missed days; the student is responsible for arranging with the rotation coordinator once the request is approved.

7.3 The days allowed may vary depending on the conference's location and proximity to Oman, with shorter travel distances requiring fewer days.

7.4 Requests for attending international conferences will be evaluated on a case-by-case basis.

7.5 Financial support is not guaranteed and will be evaluated by the college executive committee on a case-by-case basis based on the college regulations for sponsoring conference attendance and the budget availability.
