Vision :

To achieve excellence in the quality, efficiency and performance of university scientific Equipment and professional Occupational & Environmental safety through the provision of smoke-free surroundings of incidents to contribute to achieving the mission of the University to be a beacon of creativity and experience .

Mission :

To provide technical advice to develop and select the finest and the best professional standards and specifications to purchase  university scientific Equipment and the use of the latest modern technology of Asset Management Systems to maintain these Equipment and sustain their life Span with the least costs through the investment of human and material resources available, and to achieve  professional Occupational & Environmental safety in the university

Coordination and Follow up Section
  1. Registration of all correspondences (incoming/outgoing) from this department.
  2. Attendance to telephone/telefax communications.
  3. Arranging of meeting with consultants, contractors, visitors and staff members.
  4. Stationery stock follow up.
  5. Coordinating with SQU Security Office regarding issuing campus entry permits to companies dealing with department
  6. Preparing of Department procurement requests in coordination with concerned department and stores.
  7. Coordination with Transport section.
  8. Coordinating reservation of lecture halls/labs/ classes for various functions.
  9. Typing all outgoing Letters.
Equipment Data & Information Section
  1. Managing ,administrating and controlling Department operating Systems and follow up their development & upgrading in coordination with center for information system (CIS) and other concerned Departments.
  2. Revising technical reports prepared by sections Heads and engineers pertaining to Equipment purchase, inventory & maintenance within HRFMS (Scientific Equipment Management System)
  3. Revising Scientific Equipment purchase requisitions requirements and category Wise approving purchase requisition through HRFMS (procurement system) in coordination with end users and procurement department.
  4. Supervising Scientific Equipment inventory, coding, registration and labeling.
  5. modifying and controlling inventory data within HRFMS Scientific Equipment Management System) in coordination with end users.
  6. Entering and approving financial transactions: budget and petty cash commitment requests through HRFMS (Budget and petty cash systems) and planning and preparing annual budget in coordination with finance Department.
  7. Planning and preparation of Staff Training and scholarships annual plans and follow up with center for staff development (CSD)
Specialized Equipment Section
  1. Clarifying the actual requirements of new specialized equipment needed by end users at the university in coordination with concerned departments.
  2. Revising and evaluating of tenders related to new Equipment purchase along with the end users and procurement department in terms of technical specifications, quantity, warranty, pre installation requirement and operation / maintenance training and after sales technical support.
  3. Assisting and coordinating with users and the suppliers for the new Equipment Site preparation and installation.
  4. Attending and providing the maintenance for all the specialized Equipment, and timely arranging necessary spares either locally or from abroad
  5. Participating in Preparing and revising service contracts along with the end users and concerned departments.
  6. Supervising the development, negotiation and monitoring of service contracts programs to ensure services are provided and operations are conducted within program parameters.
  7. Monitoring service contractor's activity to determine progress in meeting maintenance schedules and asses the quality of work performed.
  8. Attending Relocation and disposal of Equipment according to the timely requirement by concerned end users.
Laboratory Equipment Section
  1. Clarifying the actual requirements of new laboratory equipment needed by end users at the university in coordination with concerned departments.
  2. Revising and evaluation of tenders related to new Equipment purchase along with the end users and procurement department in terms of technical specification, quantity, warranty, pre installation requirement and operation / maintenance training and after sales technical support.
  3. Assisting the concerned departments and the suppliers for the new Equipment Site preparation and installation.
  4. Repair, Maintenance, and Calibration of the laboratory equipment.
  5. Timely arranging necessary spares either locally or from Abroad.
  6. Preparation of Technical Regulations, Conditions, Guidelines and Specifications in equipment service contracts.
  7. Supervising the service company’s Engineers or Technicians While they are doing the routine maintenance.
  8. Attending Relocation and disposal of Equipment according to the timely requirement by concerned end users.
Support Equipment Section
  1. Clarifying the actual requirements of new support equipment needed by different end users at the university in coordination with concerned departments.
  2. Revising and evaluating tenders related to new Equipment purchase along with the end users and procurement department in terms of technical specification, quantity, warranty, pre installation requirement and operation / maintenance training and after sales technical support.
  3. Assisting the concerned departments and the suppliers for the new Equipment Site preparation and installation.
  4. Attending and providing the maintenance of Photocopiers, filing systems, Print shop machineries, Sports equipment and entertainment systems without effecting efficiency of the day to day work of the University, and timely arranging necessary spares either locally or from abroad
  5. Preparation of Technical Regulation, Condition, Guidelines and Specifications in equipment service contracts.
  6. Negotiation for the price, quality, availability, shelf life of the consumables for new machines before awarding the tender.
  7. Replacement of spares once the life period mentioned by manufacturer is expired.
  8. Evaluating Suppliers offers by considering maximum shelf life of the spares and capacity of the Equipment for getting maximum performance.
  9. Re-evaluating spares durability offered by the suppliers before placing the order if not insisting company to replace free of charge otherwise make them to charge according to the durability given by the part.
  10. Reconfirming the price in quotation and invoice with actual listed price after completing the job.
  11. Controlling the usage of Toner(powdered ink for photocopiers) by balancing the supply to the end-user through system. .
  12. Arranging standby Photocopy machines for the seminar / exhibition halls when and where some requirements arise.
  13. Attending Relocation and disposal of Equipment according to the timely requirements by End users.
Occupational and Environmental Safety Section
  1. Comply with SQU Health, Safety & Environment (HSE) Policy.
  2. Responsible for the Safety tours, inspections and supervision of work permits and especially excavation and road cuttings.
  3. Inspection of project sites to ensure that all health and safety measures are in place and in practice.
  4. Ensuring use of Personal Protective Equipment (PPE) by SQU Staff and Contractors.
  5. Educating SQU Staff and Contractors' workers at SQU to use safety equipment while performing critical & hazardous works.
  6. Inspect and audit the quality and safety of plant, equipment and vehicles of the contractors at SQU.
  7. Ensure that regular audit, monitoring, and maintenance of SQU and Contractors equipment, facilities and stores meet Health, Safety & Environment (HSE) standards.
  8. Ensure strict control of hazardous substances and safe handling and disposal of waste material.
  9. Ensure that approved programs of accident prevention and emergency evacuation are in place.
  10. Work with the College/Department/ Centers Safety Committees to provide active leadership in fire prevention, fire fighting and to advise and make appropriate recommendations and monitor compliance with rules and regulations pertaining to fire hazards/safety in SQU.
  11. Report all accidents / near misses and prepare initial incident reports for submittal to the Director of the Technical Services Department.
  12. Coordinate the HSE activities of Technical Services Department and participation in SQU Safety Committee, Emergency Committee, safety meetings and safety assessments.
  13. Participate/Lead SQU HSE accident/incident investigations as requested.
  14. Audit areas of performance in safety, safety training, fire protection, emergency response, record keeping, procedures, inspections, safety meetings, incident reporting and investigation.
  15. Develop and implement HSE measures to Lead SQU to zero injury and zero environmental impacts
