Duties and responsibilities  of the department:

• Providing housing for academic professors, visitors, technicians, administrators, and researchers contracted by the university and graduate students from non-Omanis.

• Supervising house maintenance on campus and rented houses outside the campus, in coordination with the competent department.

• Supervising the furnishing of university offices and houses inside and outside the campus, in coordination with the General Stores Department.

• Renting houses for contractors, in coordination with the competent committee.

• Entering the complete data of the residents in the human resources system (Vision2000).

• Complete the procedures of lease contracts for houses outside the campus and complete the information for residents .

• Supervising the electricity, water and gas billing services for housing on campus, in coordination with the competent authorities.

• Coordination with the general stores department on the disbursement of house and office furniture for various units of the university.

• Evaluating the requests received by the department from the various authorities in the university related to office or house furniture.

 

Duties and responsibilities  of the Director of the Department .

• Setting and developing the department's plans, and supervising their proper implementation.

• Supervising all sections within the department and following up the progress of work in them.

• Evaluating the employees under his direct supervision.

• Preparing the department's annual budget and submit it to the Deputy Vice President for Administrative and Financial Affairs.

• To suggest the department needs of human resources, devices and others.

• Representing the department in some of its meetings.

• Approving employee performance adequacy reports.

• Any other duties assigned to him by the direct responsible.

 

Duties and responsibilities  of the Deputy Director.

• Replaces the director of the department in his absence.

• Follow-up on housing preparation on and off campus.

• Follow-up to requests for furnishing offices and houses received by the department from the various units of the university.

• Follow up and supervise the work of its section in administrative and financial terms.

• Preparing  job performance reports for the heads of section, and following up the adequacy job performs a reports for employees of the section that he supervises.

• Supervising the department's permanent advance loan.

• Carrying out transfers and links to financial items in the Human Resources System (Vision 2000) for the sections that he supervises .

• Work on training and qualifying employees to raise the efficiency of their job performance.

• Supervising the regulations that regulate the department's work.

• Any other duties assigned to him by the director of the department.

 

Duties and responsibilities  of the Coordination, Follow-up and Archive Section.

• Organizing the receipt and delivery of all incoming and outgoing correspondence to the department and record it in the records prepared for that .

• Follow up on topics and notes with the departments affiliated to the department.

• Follow up on the department's issues with the concerned authorities and ensure that responses are received in this regard.

• Keeping and following up the programs, appointments and obligations of the director of the department .

• Preparing and writing reports, notes and letters based on work requirements.

• Responding to phone calls and receiving and organizing faxes and distributing them to the sections  of the department.

• Keeping, documenting and archiving correspondence and data in the special files according to the established system.

• List the files and records whose terms have expired, and hand them over to the competent department, in accordance with the applicable regulations.

• Preparing for the meetings attended by the director, whether it is at the university or any other party outside the university.

• Providing all administrative requirements related to personnel affairs within the department.

• Preparing periodic and immediate reports on the work done in the section  and submitting them to the director of the department.

• Monitor the proper functioning of machines and devices in the department and follow up their maintenance programs.

• Any other duties assigned to him in the field of the section's competence.

 

Duties and responsibilities  of the Housing Services section.

• Keeping the name of the resident in the human resources system(Vision2000).

• Taking meter reading of electricity, water and gas upon the arrival of the new resident, so that all previous dues will be paid at the beginning of the housing (for housing inside and outside the campus).

• Keeping the reading in the human resources system.

• Taking the periodic reading of the water and gas meters for the housing  inside the campus and keeping them in the human resources system.

• Requesting maintenance of meters, and making estimates for reading in case of failure of working meters

• Reading  the meters when the party evacuates the dweller so that he pays the dues upon departure.

• Sorting electricity bills for housing on the campus and transferring them to the competent authorities.

• Making electricity, water and gas bills for some companies that work at the university and transfer the receipts paid in the bank accredited by the companies to the Financial Affairs Department to take the necessary action.

• Preparing and following up the reports and correspondence of the sections.

• Any other duties assigned to him in the field of the section's competence.

 

Duties and responsibilities  of the rental contracts section

• Opening files for new contracts.

• Follow up on renewing expired contracts.

• Addressing owners regarding termination of contracts.

• Reviewing the housing contracts of the human resources system, before printing the rental contract form.

• Receiving payment receipts for the apartments and rooms that the department rents on and off campus and transfers them to the Financial Affairs Department.

• Addressing owners to consider the possibility of reducing housing rents.

• Printing the form attached to the rental contract for the housing rented for employees for approval by the university administration.

• Preparing and following up the reports and correspondence of the section.

• Any other duties assigned to him in the field of the section's competence.

 

Duties and responsibilities  of the Offices section.

• Making field visits to colleges, centers and departments in the university for the purpose of evaluating the required furniture, whether it is supplying or replacing old furniture or take back  according to the requests received by the department from all offices at the university.

• Preparing reports on requests for curtains and carpets for the places required to be changed or supplied and send them to the General Stores Department to take the necessary action.

• making an annual report for  the supply  furniture for all units at the university, in coordination with the General Stores Department.

• Follow up on the reports sent to the General Stores Department regarding the disbursement of the required furniture until it is disbursed to the requesting user.

• Preparing and following up the department's reports and correspondence.

• Receiving furniture vouchers from the General Stores Department for providing, replacing and take back .

• Any other duties assigned to him in the section's  competence.

 

Duties and responsibilities  of the housing section.

• Providing housing for academic professors, visitors, technicians, administrators and researchers contracted by the university and graduate students, in coordination with departments, centers and colleges.

• Inspecting and evaluating housing furniture and following up the work of supplying and replacing furniture.

• Inspecting housing and following up maintenance works in coordination with the competent department.

• Receiving calls from residents to inquire and follow up on their issues.

• Receipt of new rented housing by the competent committee and follow up on its preparation and maintenance.

• Coordination with residents and companies on replacing and installing some furniture.

• Follow-up to the work of the cleaning company, which is in charge of cleaning works at the university, and coordinating with them regarding housing cleaning, as needed.

• Entering the data of the new residents in the computer system.

• Follow-up and coordination with houseowners and residents to solve problems and difficulties they face.

• Preparing and following up the reports and correspondence of the department.

• Receiving furniture vouchers from the General stores department  for providing, replacing and retrieving

• Any other duties assigned to him in the field of the section's competence.
