WHAT TO EXPECT IN INTERNATIONAL EXPERIENCE?

Air ticket to the host country shall be provided by Sultan Qaboos University
Mixed accommodation (shared bathroom and kitchen, private bedroom)
Accommodation could be far away from the workplace.
Local transportation in the host country is student’s responsibility.
Food is student’s responsibility.
Mobile and internet connection is student’s responsibility.
IAESTE representative from the local committee will only be responsible to receive you from the nearest public transport station. (If the host city does not have an airport, the student must take a train/bus to the main of station of the host city)
Student must establish communication with the hosting IAESTE committee. Under no circumstances IAESTE Oman shall be held responsible to provide any facility in the host country.

IAESTE PROCESS

1. Online selection:

Once the offers are announced, students apply for the exchanged positions through IAESTE Oman based on their interest in the scope of work offered by the employer. [February-April]

2. Nomination:

IAESTE representatives use their expertise to select the most qualified candidate for each offer, meaning one applicant is sent at a time to the employer. [February-April]

3. Acceptances and Visa processing

Once the candidate is accepted by the Employer, the IAESTE representatives in both countries work together to prepare the student, and to ensure that the student has all the necessary permits and/or visas needed to undertake the traineeship. [March-May] Documents are given only to assist the visa process by making an official request to the embassy for visa issuance for the suggested dates by the employer

4. Traineeships

Traineeship durations and timescales differ from offer to offer but they will be held the summer months and vary in length according to employer requirements (usually 8-12 weeks). IAESTE representatives in host country will normally facilitate accommodation and social and cultural activities for the trainees during these months. Evaluations are carried out at the end of the placements to monitor quality and improve processes.

Please ensure you have carefully read and understood the stated points in ‘what to expect’ section in IAESTE handout before you submit your application for further processing. If you are not satisfied with the provided facilities by IAESTE, notify us with your application withdrawal.

Your application will be further processed upon receiving the following documents. (Two hardcopies and one soft copy; zipped folder containing the stated documents)

Curriculum Vité (CV)
List of courses with course description (stamped by Assistant Dean Office)
Certification (or letter) for any previous training
Recommendation letters (at least two)
Copy of valid passport (including copy of residency permit for non-omani students)

Visa Information

What is a Visa?

A visa is a document showing that a person is authorized to enter the territory for which it was issued, subject to permission of an immigration official at the time of actual entry. The authorization may be a document, but more commonly it is a stamp endorsed in the applicant's passport. Some countries do not require a visa in some situations, such as a result of reciprocal treaty arrangements. The country issuing the visa typically attaches various conditions of stay, such as the territory covered by the visa, dates of validity, period of stay, whether the visa is valid for more than one visit, etc.

It is mandatory for all the candidates to get their insurance done. Only the students going to Germany are insured by the host country.

Checklist
Before your departure

Check whether you require a separate work permit.
Check if you informed your hosts of your arrival. (If your date of arrival has changed from the one already mentioned in the documents, then inform the hosts of your new date of arrival. Also, in case of delay in flight due to any last moment problems, you must inform your host and the sending country about the same.)
Check if you have arranged for overseas health/travel insurance.
Check if you have contacted the person mentioned in the contact address of your N/5a form.
Check if you have contacted the incoming welfare/reception department of the IAESTE of the host country.
Check if you have Emergency contact details of the IAESTE of the country you are going to. (This can be found out from the N5a or the website of host IAESTE.)
Check if you have taken take photocopies of your passport and other important documents and kept these separate from the originals when you travel and/or stored them online.
Check if you have taken few passport sized photographs of yours.
Check if you have taken currency of the respective country or International traveller's card/cheque.
Check if you have suitable clothes for the climatic conditions of the country.
Check if you are carrying some basic medicines?

(It is advised that you take along the prescription by your doctor since rule abroad are very strict regarding sale of medicines and it might be difficult for you to purchase without any prescription.)

Check if you have obtained a Letter from your university stating that you are a full time student?
Check if you need to register any of the electronic goods you are carrying at the customs counter at the airport.

Suggestions

Do refer to travel guides of the countries you are visiting. "Europe on a Shoe String" for European Countries is one of the best ones.
Keep a look out on Social Networking Sites for IAESTE Groups of your sending and receiving countries.
Some IAESTEs hold traditional nights where the interns are required to wear their native clothes and prepare food and drinks from their country. It is therefore, advisable if you carry some traditional stuff in this regard.
It is advisable to buy small inexpensive gifts from Oman and take them with you. You could present them to close friends or employers you make in that country

IAESTE Ombudsperson

The Ombudsperson receives, investigates and handles complaints from interns and applicants to the programme, and acts as a mediator in disputes. The Ombudsperson offers complete discretion and will never do anything without the permission of the complainant, and will seek a solution that is in the interest of all the parties involved. You may contact the Ombudsperson if you have any issues/feedback or complaints, but only if you have not been able to resolve these with your hosting or sending committee. Complaints to the Ombudsperson must be received in writing using the form below, with a full explanation of the situation, and the actions that have already been taken to reach a solution.
